Automation Overview
Audenci's automation engine allows you to create workflows that trigger actions based on events. Automate repetitive tasks like: Post creation, Scheduling, Notifications, Campaign assignment, Status changes, Content generation.
Automation Concepts
Automations have three components: TRIGGER (when should this run?), CONDITIONS (should it run for this item?), ACTIONS (what should happen?). Example: Trigger=Post Created, Condition=Category=Promotional, Action=Add to Q1 Campaign.
Available Triggers
- Post Created - When a new post is created
- Post Status Changed - When status transitions
- Post Published - When post goes live
- Campaign Started - When campaign start date arrives
- Campaign Ended - When campaign end date passes
- Analytics Updated - When post analytics refresh
- Schedule Time - On specific date/time (cron)
- Follower Milestone - When follower count reaches X

Conditions
Conditions filter which items trigger actions: Field equals value (category = 'Promotional'), Field contains value (caption contains 'sale'), Field greater than value (engagement rate > 5%), Multiple conditions (AND/OR logic), Date/time conditions.
Available Actions
- Create Draft Post - Generate new post with predefined content
- Schedule Post - Set post to publish at specific time
- Send Notification - In-app, email, or Telegram alert
- Send Email - Custom email to team or stakeholders
- Add to Campaign - Assign post to campaign
- Generate Content - AI content generation (1 credit per message)
- Generate Image - AI image creation (variable credits)
- Webhook Call - Trigger external integrations
- Update Post Status - Change status (DRAFT, IN_REVIEW, etc.)
- Add Tags - Add tags to post
Creating an Automation
To create automation: Go to Settings → Automations, Click 'New Automation', Name your automation, Select trigger, Add conditions (optional), Add actions (1-5 actions per automation), Enable automation, Save.
- Define clear goal for automation
- Choose appropriate trigger
- Set conditions to filter items
- Configure actions with details
- Test with sample data
- Enable and monitor
Example: Auto-Generate Content
Automation: Auto-generate captions for drafted posts. Trigger: Post Created, Condition: Status = DRAFT AND Caption is empty, Action: Generate Content with prompt 'Write engaging caption for this post'. Cost: 1 credit per post.
Use this for quick draft posts where you want AI to suggest captions. Review and edit before publishing.
Example: Campaign Auto-Assignment
Automation: Add promotional posts to active campaign. Trigger: Post Created, Condition: Category = 'Promotional' AND Tag contains 'summer', Action: Add to Campaign 'Summer Sale 2026'. Cost: Free (no credits).
Example: Scheduled Email Report
Automation: Weekly analytics email. Trigger: Schedule Time (every Monday 9am), Condition: None (always run), Action: Send Email with analytics summary to team@company.com. Cost: Free (no credits).
Example: Follower Milestone Notification
Automation: Celebrate follower milestones. Trigger: Follower Milestone (Instagram followers = 10000), Condition: None, Action: Send Notification 'We hit 10K followers on Instagram!'. Cost: Free (no credits).
Credit Costs
Actions that consume credits: Generate Content (1 credit per message), Generate Image (4-12 credits per image), Generate Video (20-40 credits per video). All other actions are FREE. Credits consumed only when action executes.
High-frequency automations with AI actions can consume many credits. Monitor automation runs and credit usage.
Testing Automations
Test before enabling: Create test post that matches conditions, Verify trigger fires, Check that conditions evaluate correctly, Confirm actions execute as expected, Review credit costs for AI actions, Enable automation once validated.
Monitoring Automations
Monitor automation performance: Execution log (when it ran), Success/failure rate, Credit costs incurred, Items processed, Error messages. Disable automations that aren't working as expected or consuming too many credits.
Automation Limits
Plan-based limits: Starter: 5 automations, Growth: 15 automations, Scale: 50 automations, Enterprise: Unlimited. Each automation can have: 1 trigger, Up to 10 conditions (AND/OR logic), Up to 5 actions.
Best Practices
- Start simple - one trigger, one action
- Test thoroughly before enabling
- Monitor credit consumption for AI actions
- Use conditions to filter precisely
- Document automation purpose and logic
- Review automation logs weekly
- Disable unused automations to keep workspace clean
- Use automations for repetitive tasks, not creative work
